OpenLegacy needed to rebuild its customer training library as its platform evolved and existing training materials became increasingly difficult to maintain and scale.

The Customer

OpenLegacy is an AI-powered platform that helps enterprises modernize and expose legacy systems through cloud-ready APIs and integration services. Because these projects span multiple teams, structured customer and partner training is critical to making modernization projects successful and scalable.

The Challenge

OpenLegacy's training content had gone stale as the platform evolved and more complex enterprise modernization projects were onboarded.

"We have quite old training materials... the effort required to update each video became so large that a single person couldn't keep up with the demand for changes and new content." — Ruslan Abramov, Support & Operations Team Lead, OpenLegacy

Ruslan's team, already handling R&D, QA support, and DevOps, took on the technical writing too, but narration wasn't his strength.

"I don't mind recording flows in the application and doing the technical part, but writing the content or narration is not something I can do in a professional way." — Ruslan, OpenLegacy

Leadership wanted to lean on AI, but needed a tool that could deliver without the usual limits or high costs.

Why OpenLegacy Chose Guideless

Ruslan first tried a general AI tool. It was helpful with language, but didn't understand product flow well enough for polished technical training. Walkthrough-specific tools handled video creation fine, but not at the scale OpenLegacy needed to rebuild an entire library. Several factors ultimately shaped the decision:

Criteria

Why it mattered

Video creation volume

No monthly caps that would slow the rebuild

Pricing

Fit existing budgets without added headcount

Recording quality

Clean walkthroughs of a real enterprise platform

Narration support

Turn technical recordings into professional English narration

Multi-language scalability

Needed for international customers and partners

"I've been exploring different tools, and I have to say your offering and pricing are better compared to what I've seen. Some tools are very expensive, some are outdated, and others limit how many videos you can create per month."

The Solution

A Scalable Workflow for Training Content Creation

With Guideless, OpenLegacy set up a repeatable workflow for turning product recordings into narrated walkthroughs that can later be used in customer onboarding, partner enablement, and internal training.

Ruslan's team already had deep, hands-on product knowledge and understood real-world customer scenarios. What they needed was a faster way to transform that expertise into clear, professional training content at scale, using tools that fit seamlessly into their existing workflow. Instead of depending on a single specialist, the goal became enabling the whole team to capture and refine knowledge into training assets quickly, consistently, and with minimal overhead.

A scalable workflow

The workflow works like this:

  1. Record the relevant flow inside the OpenLegacy platform. The team records the technical process directly in the application, focusing on real product flows that customers, partners, or internal teams need to understand.
  2. Use Guideless to create the narrated walkthrough. Guideless helps turn the recording into a structured guide with narration, reducing the manual work usually needed for scripting, recording, and editing.
  3. Review and refine the narration. The team uses Guideless AI tools to improve the wording, but Ruslan still reviews the explanation and adjusts it where needed.
  4. Add product context manually where the recording is not enough. For deeply technical OpenLegacy workflows, some context cannot be inferred from the screen alone. The team adds the product-specific explanation themselves to make sure the guide is accurate.
  5. Export the finished video as an MP4. Once the walkthrough is ready, the team exports it from Guideless.
  6. Upload the video to their training management system. External training videos are uploaded to OpenLegacy's learning management system.
  7. Use the videos as building blocks for courses. Customer Success can assemble the videos into structured courses based on different customer needs and use cases.

For internal use, OpenLegacy can also share Guideless links directly. That helps teams avoid re-sending files when a guide is updated, because the linked version stays current.

The goal is not to replace OpenLegacy's technical expertise with AI. The goal is to make that expertise easier to package and reuse. Ruslan's team still provides the product knowledge and reviews the technical accuracy, while Guideless helps with the production layer: narration, structure, and video output.

"We need to create as much content as possible, and then Customer Success can build courses around different use cases."

During the evaluation, the first deliverable was already live: an end-to-end scenario built from seven short videos, each 30 to 60 seconds long.

One training library, multiple audiences

The videos serve a wide range of people inside and outside the company, which is why having a scalable, central library is so important. It helps OpenLegacy support customers with onboarding videos, partner enablement, product demos, and internal knowledge sharing all in one place.

Audience

How they use it

Enterprise customer implementation teams

Onboarding onto the OpenLegacy platform

Systems integrators (Deloitte, Accenture)

Partner enablement during modernization projects

Customer Success teams

Assembling videos into structured training courses

Internal R&D teams

Sprint demos, feature showcases, product updates

That last benefit was a nice surprise. Besides customer training, OpenLegacy's R&D team started using Guideless to record sprint demos and share new features inside the company:

"When we have demo meetings and want to show new features, this is a really nice solution because it saves time."

How training content reaches customers and employees

OpenLegacy uses two distinct sharing paths depending on the audience:

  • External training: Export MP4 from Guideless, upload into their training management system, then deliver as part of customer onboarding programs.
  • Internal collaboration: Share Guideless links directly, so the content stays current without re-sending files.

For Ruslan, sharing links also removed the version-control headache:

"It's always updated on the fly."

The impact so far

For a team rebuilding its training library alongside day-to-day operational responsibilities, this workflow has already made a meaningful difference:

  • Instead of manually scripting, narrating, and editing each training video, the team can now turn recorded product flows into polished walkthroughs much faster.
  • Customer Success now has a growing library of SaaS training videos and reusable learning content that can be packaged into courses for different customer needs.
  • The same workflow now supports customer onboarding, partner enablement, product demos, and internal knowledge sharing.
  • The workflow also expanded beyond customer training. OpenLegacy's R&D team adopted Guideless for sprint demos and feature updates.
  • Most importantly, OpenLegacy now has a repeatable way to rebuild its training library without relying on the time, cost, and dedicated resources typically required for professional training video production.

Key Takeaways

OpenLegacy needed to rebuild its training library quickly without adding significant new costs. Guideless became part of a repeatable workflow turning product knowledge into reusable onboarding, enablement, and training content, with product experts still owning accuracy, and Guideless handling narration, structure, and output.

"The recording itself is really nice... overall it looks promising."

OpenLegacy's experience shows that scaling training isn't about replacing product expertise with AI. It's about making that expertise easier to capture, refine, and reuse.
